AI and Call Recording Disclosure

This disclosure explains how ARIA uses AI and handles call-related processing.
1. AI-Assisted Features
ARIA uses AI systems to draft responses, summarize interactions, and support communication workflows.
AI results may vary and can be incomplete or incorrect. Users are responsible for reviewing outputs before taking action.
2. Call Processing
When call features are enabled, ARIA may process:
- Call metadata (such as timestamps and phone routing context)
- Audio-derived transcripts
- Generated call summaries and follow-up suggestions
Call-related content and other service content may be sent to third-party AI providers, including OpenAI.
Depending on provider policy and account setup, those providers may retain submitted data and may use it for model training or service improvement.
These provider-side data-use decisions may be outside Madd Technologies' direct control.
3. Recording Notice and Consent
You are responsible for ensuring required notices and consent are obtained before using recording-enabled or transcript-enabled features.
Legal requirements vary by jurisdiction and use case.
4. Human Oversight
ARIA is an assistive tool. Human review is required for high-impact decisions, sensitive communications, and regulated workflows.
5. Sensitive Data Handling
Do not submit highly sensitive categories of data unless your organization has approved controls, a valid legal basis, and required safeguards.
Data minimization and redaction should be applied where feasible.
6. Safety and Abuse Controls
Madd Technologies may apply safeguards, throttles, or restrictions if abuse, policy violations, or security risks are detected.
7. Policy Evolution
This disclosure may be updated to reflect product changes, legal requirements, and provider updates.
